Terms & Conditions


A 25% deposit is required to secure your booking, this will be charged 2 days after you have made your booking. The remaining balance is required 28 days prior to your arrival. Any bookings not having the required deposit paid to us will be automatically cancelled after 7 days. Deposit conditions for certain accommodations may vary and we will advise you of these conditions at the time of booking if they differ from the above.

Full payment is required on booking, for reservations made 28 days or less, prior to arrival.

Please note a 1.9% merchant fee applies to all card transactions, if applicable and is not refundable. Direct Deposit incurs no fees and our trust account details can be sent to you on request by email if you wish to pay this way. However, please note that we do require your card details as a security for bookings made within 72 hours.

If you have paid via AirBnB different payment policies will be set and collected by them. Contact AirBnB if you have any questions regarding your payment to them.

Payment by Credit Card

Should you pay by card, you agree to allow our system to store your credit card details and you agree that our system may charge your card for any outstanding funds (e.g. 28 days before arrival for the outstanding amount). Our system is PCI compliant (we do not physically store your card number – it is digitally encrypted by Stripe (r)). If you have paid your deposit by card, please contact us 28 days prior to your arrival in writing that you do NOT wish for us to charge the card.

If you have booked through booking.com and paying by card we require you to send through your photo ID along with the card being used for payment, to make sure the names match and eliminate the risk of fraudulent activity.


We have been instructed to ensure our amazing homes are taken care of, and to guarantee this, we request a bond of $500-$1000 (depending on the size of the property). This can be a pre-authorisation on a credit card or Direct Debit. Pre-authorisations will be made before your departure and will automatically be released within 7 days. It is your responsibility to ensure you have funds on your credit card.

Should we notice damage or additional cleaning requirements during our initial clean and inspection, we reserve the right to retain the bond until we have received appropriate quotes from the relevant tradesperson/supplier.

If you have paid via AirBnB the bond policy will be set and collected by them. Contact AirBnB if you have any questions regarding your bond payment.

Rental Agreements

We will be sending out a rental agreement prior to your check in, highlighting our house rules. This must be signed before arrival. Failing to sign the rental agreement, might result in refusal of entry. All tenants must be over 21 or accompanied by a legal guardian for the whole duration of the stay.


Direct bookings cancelled more than 30 days prior to arrival will be refunded in full (minus credit card transaction fees).

Direct bookings cancelled 30 days or less prior to arrival: a cancellation fee of 100% of the total booking value will be retained.

If you have booked through AirBnB, Booking.com or Stayz(VRBO) different cancellation policies may be set by them, which will be adhered to by Whitsunday Vacations.

Whitsunday Vacations will accept no liability in the event of a cancellation due to weather conditions (e.g. excessive rain and flooding, cyclones, etc.) or flight cancellations. 

Event Beyond Control

Whitsunday Vacations is not responsible for any guests loss of income, money or belongings arising out of any occurrences or conditions beyond its control, including but not limited to acts of terrorism, theft, flight delay or cancellation, civil disorder, natural disaster such as cyclone, fire, flooding, government regulations or changes in guest itinerary or schedule.

In the event that a weather event or circumstances arises during your stay that may require you to depart before your scheduled departure date, (such as cyclone or flooding), it will be at the discretion of the owner if we provide a refund or credit on the remainder of your stay.

If you are unable to attend due to weather warnings, flight cancellations or road closures due to events such as cyclones or flooding, it will again be at the discretion of the owner if a refund or credit is provided.

If it is unsafe to stay in the accommodation for any reason, particularly in the event of a natural disaster such as cyclone or flooding, Whitsunday Vacations reserves the right to request that guests depart before their scheduled departure date. Whitsunday Vacations is not responsible for finding alternate accommodation, however will assist where possible. In this case, it will again be at the discretion of the property owner if a refund or credit is provided.

This is why we strongly encourage travel insurance.

Travel Insurance

We strongly recommend that you purchase Travel Insurance to cover unforeseen circumstances and include cover for involuntary cancellation of your accommodation.

Noise Disturbance

Our properties are located in residential areas, where building, renovation or road works may be carried out and affect other properties in the vicinity. Neither Whitsunday Vacations or the Property Owner are responsible for any noise or disruption caused by building, renovation or road works at a different property, or on the main roads, around the property.

No refund or reduction in rate will be offered for noise from building or renovation works on neighbouring properties. If possible, Whitsunday Vacations may try to move you to an alternate property, additional fees may apply in respect to the alternate property's price point.

Property Damage

Any damage to the property or its contents caused by the tenant will be charged to the guest who’s name the booking has been made in. A security deposit will be required for all holiday accommodation. Should you find the property damaged prior to your stay, please advise our office immediately on 0482797767 or call (07) 4948 8500. Failure to do so will deem you to be totally responsible for the condition of the property on departure.


All linen is supplied and property cleaned prior to arrival. For any additional cleans or linen tenants have the option to arrange at their own cost. Please contact us on 0482 797 767. Linen is provided by an external supplier. The cost of replacing linen, including towels, due to loss of or damage from soiling etc, will be recovered from the guest bond.

Check In/Key Collection

We are promoting a contactless environment and therefore endeavour to set up our properties with a key code entry and/or keylock storage, however some properties require a staff member to meet you for check in. This will be discussed with you depending on the property you book to stay at. Should your arrival be very late at night or early morning, please let us know as soon as possible to make satisfactory arrangements for you. Check in time is after 2 pm and check out before 10 am on the day of departure. A fee of $100 per hour may be charged if you do not vacate by this time.

Conditions of Bailment

On confirming your booking you are agreeing to be bound by our rules of the house and conditions of bailment, this includes but is not limited to the following;


  1. Tenants agree that their group is not partaking in Bucks, Hens, Schoolies or similar celebrations
  2. That the lead guest is over the age of 21 years old. Anyone under this age is to be accompanied by a responsible Adult (Parent or Guardian.
  3. No minors are to be left unattended at the property.
  4. Tenants will ensure that no more than the number of guests booked stay at the property and understand that no unauthorised guests are permitted to stay overnight at the property.
  5. The tenant agrees to abide by all rules and regulations set forth by local laws, Body Corporate Bi-laws (if applicable) and Whitsunday Vacations’ terms and conditions.
  6. The tenant commits not to use the property for any illegal or commercial purpose, including but not limited to sub-lease the property.
  7. The tenant must allow the Owner or their representative (including workmen), with reasonable notice, access to the property at a reasonable time during your stay (except in the case of an emergency or if a problem needs sorting out quickly and you cannot be contacted in time. In these situations, the owner or representative can enter the property at any time without giving you prior notice).


  1. Guests must park in the allocated parking spot(s) - guests agree to advise us of any additional vehicles so we can advise where to park to comply with parking regulations and show consideration to neighbours and other vehicles.
  2. Guests and visitors are responsible and liable for any fines or penalties incurred by parking on the street where local parking restrictions/metered parking applies.


  1. The guests agree not to cause or permit nuisance at the property.
  2. 2. Guests must not create noise which is offensive to occupiers of neighbouring properties including during arrival and departure or at any time throughout the occupancy.
  3. Noise should generally cease after 9pm Sunday through to Thursday and 10pm Friday and Saturday, inline with local council regulations.
  4. The property is not a “party house” and any such activities are strictly prohibited.
  5. Whitsunday Vacations does not permit Schoolies, Hens or Bucks groups at this property.
  6. Whitsunday Vacations reserves the right to refuse/cancel any booking that are determined to be inappropriate or are suspected Schoolies, Hens or Bucks bookings.


  1. Guests and visitors are to dispose of garbage and recycling in accordance with the usual practice at the property in the bins provided.
  2. Whitsunday Vacations or the Body Corp will attend to put the bins out for collection on the appropriate days.


  1. Pets are not permitted at a property unless approved by the owner and/or Whitsunday Vacations. (excluding Certified Guide, Hearing and Assistance dogs - however we still need to be advised of this.
  2. If pets are present, the guests agree that their pet(s) will not cause a nuisance to adjoining or surrounding properties. (including but not limited to noise/barking or defecating on neighbouring properties).
  3. Any damage or additional cleaning required, caused by pets will be paid for by the tenant.


  1. The guests agree to leave the premise in a clean and tidy condition on departure, with everything in their original condition as the beginning of their stay.
  2. Guests are to advise Whitsunday Vacations of any damage or maintenance issues as soon as possible.
  3. Any damage, repairs or excessive cleaning that is deemed to be at the fault of the guests stay will be paid by the guests out of the bond.


  1. No open fires are allowed at the property at any time, inside or outside and no candles are to be lit inside.
  2. Smoking is not permitted inside.
  3. If smoking in the designated outside area, please dispose of butts responsibly and do not throw them into any garden beds, or on the ground in general.


  1. All external doors and windows are to be closed and locked upon departure and keys left as instructed by Whitsunday Vacations (this will be sent to you the day before your departure).
  2. During your stay, please make sure the property is secured when you are out. The tenant is responsible for keeping their valuables safe at all times. The owner and Whitsunday Vacations take no responsibility for the loss of money, jewellery or valuables of any kind.
  3. Any lost or damaged keys will be paid for by the guest out of the bond paid.


  1. The owner and/or Whitsunday Vacations reserve the right to terminate permission to occupy and to evict from the property, guests who refuse to follow the Code of Conduct, who cause a nuisance.
  2. If guests are found to have contravened any of the above Code of Conduct, a verbal warning will be issued. If this is not rectified immediately the accommodation booking may be terminated immediately at Whitsunday Vacations’ discretion.
  3. No refunds will be given in this instance.


  1. Whitsunday Vacations has strived to maintain the accuracy of the content with their websites. However, from time-to-time aspects of the content may be out of date. Certain information is provided by others including owners, and for that we accept no responsibility for its accuracy.
  2. Whitsunday Vacations acts as the letting agent on behalf of the owners and in accordance with the owner’s instructions. Whitsunday Vacations reserves the right to take appropriate action and/or seek compensation for any serious breach of these conditions of letting.
  3. Whitsunday Vacations holds no responsibility or obligation to re-house or re-accommodate anyone who has been removed from a property due to any breach of these Terms & Conditions.
  4. Whilst our office may use the services of Booking Agents, the Terms & Conditions contained in the document are relevant and as such apply to your booking and stay at the respective property you have booked.
  5. We reserve the right to change, modify, add, or remove portions of these terms at any time.
